Who does what, and who sees what.

The journey of a piece of information, from entry to reading: what the management does, what the teacher enters, what families and students receive.

Bursar

The bursar’s day

A bursar opens the fee desk, receives payments and closes the day. They see fees and receipts, nothing else.

  1. 1

    Open the fee desk

The bursar starts the day on a till. The fee counter for the site, class and period filters the records to handle today. The same till serves cash and transfers.

  2. 2

    Record a payment

They find the student by name or number. Each fee shows what is due, what is paid and what remains. The family’s instalments and exemptions apply on their own.

  3. 3

    Issue the receipt

The receipt is issued at validation, numbered and dated. It prints or sends to the family by email, with optional SMS.

  4. 4

    Close the day

The cash journal counts receipts by channel. Any discrepancy with the counted cash is noted at closing, in the journal.

What they see

  • Fees and receipt
  • Instalment plans
  • Cash journal
  • Family balances
  • Collections by class

Teacher

The teacher’s day

A teacher works in their classes: attendance, marks, lesson log. They see their classes and their pupils, nothing else.

  1. 1

    Find their class board

Pupils, timetable and session in a single view. The photo board puts a face on each pupil, handy for a substitute.

  2. 2

    Take attendance

The register opens on today’s session. Absences go to the family if needed; the family justifies, the school accepts or not.

  3. 3

    Enter the marks

Marks are entered per assessment, out of the test’s scale. The weighted average computes itself as they type.

  4. 4

    Keep the lesson log

At the end of the session, a note on what was done. Colleagues see progress, management follows the curriculum.

What they see

  • Their class board
  • Attendance register
  • Mark entry
  • Lesson log
  • Class list with photos

Family

The family’s day

A family follows its children in a space of their own: results, absences, dues and receipts. They see their children, nothing else.

  1. 1

The family space shows the children enrolled in the establishment. No school-side software needed: a browser is enough.

  2. 2

    Follow results

Report cards, termly averages and attendance, without calling the school.

  3. 3

See what is left to pay

The student’s fees, the instalment plan and what is paid. No ambiguity about the balance.

  4. 4

    Get the receipts

Receipts arrive by email or SMS. They are always there, also findable in the family space.

What they see

  • Their children’s report cards
  • Absences and justifications
  • Dues and instalment plan
  • Receipts and documents

Management

The management’s day

Management steers the establishment: enrolment, attendance, dues, results. They see everything, and can act.

  1. 1

    Read the dashboard

Enrolment, attendance, sums left to collect, results. The figures are live, site by site.

  2. 2

    Check what was done

The audit journal lists sensitive actions: who did what, when. A payment cancellation or a sanction leaves a trace.

  3. 3

    Freeze a snapshot

A dated record of indicators for a board or an inspection. The figures served on the day of a meeting stay readable as they were.

  4. 4

    Close the year

Re-enrolments are prepared without closing. When the year ends, it is archived: data is kept, consultable.

What they see

  • Global dashboard
  • All domains: schooling, fees, attendance
  • Snapshots and indicators
  • Audit journal
